Assistant Project Manager

Purpose

The Associate Project Manager is responsible for the maintenance and updating of project plans - including milestone summary, key issues, risks, benefits, summary of costs incurred.

Key Accountabilities

Operational

  • Works with and support the Project Managers in assigned projects
  • Analyse Brands designs and provide feedback to internal stakeholders on, feasibility, logistics, cost, etc..
  • Understand operational needs of each brand and flag it if not being implemented.
  • Provides snag’s lists on store openings and follow’s its competition with contractor
  • Responsible for coordinating and undertaking small/whitebox/pop up projects
  • Assists the Project Managers with the planning and scheduling
  • Liaise with & coordinate with all stakeholders / vendors for project timeline & budget
  • Provide weekly progress update reports throughout project lifecycle Assists with efficient coordination of field and office activities on assigned projects, including job scheduling activities.
  • Assists with the daily details of the project, including contracts, filing, updates, and changes and assisting with the coordination of office and field activities during the construction period.
  • Compiles and prepares project correspondence; site documentation, maintain data.
  • Act as the point of contact and communicate project status to all participants
  • Interacts with engineers, contractors, and estimating personnel regarding project bids and evaluation activities, pay requests and other project concerns.
  • Assists the Procurement in the drafting and issuance of project proposals, RFP’s, tenders, budgets, and preliminary schedules.
  • Prepares project organization and communication charts.
  • Attends project planning meetings and distribute minutes to all project team members.
  • Tracks the progress and quality of work being performed by design disciplines/trades.
  • Uses project scheduling and control tools to monitor projects plans, work hours, budgets and expenditures.
  • Coordinates with Legal Department for issuance of Contracts, Letters of Intent, Purchase Orders, etc.
  • Assists the Project Manager & Procurement in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval.
  • Tracks & manages change notices and change orders in the database and communicate to relevant parties in a timely manner.
  • Prepares project completion documentation and ensures all required project close out documents are obtained.
  • Assisting the Department with permit applications for fit outs, Police permits, mobilization of projects etc.
  • Ensure proper filing of project documents and compile all relevant folders to ensure documents are easily accessible by the Department
  • Support in ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Any additional responsibilities as advised by the Line Manager.

Qualifications And Experience

 

Qualifications:

Essential

  • Bachelor Degree or equivalent in Business Admin; Real Estate or any related fields

Previous Experience:

Essential

  • 5-8 years job related experience
  • Minimum 3 years’ experience in Project Administration and/or Project Coordination in a retail environment
  • Minimum 3 years UAE work experience
